Office Manager / H.R. Assistant

This is a senior administrative role that will be responsible for three primary areas including; office management, staff support and human resources support. This position reports to the Operations Director. The Office Manager will be responsible for a wide range of duties including office and facilities management, payroll processing, and new employee orientation. An additional key component of this position is to help oversee staff benefits administration.

Essential Duties and Responsibilities

Human Resources

  • New hire and termination support.
  • Process organizational payroll.
  • Assist HR with leave tracking and benefit maintenance.
  • Help develop and implement HR policies and procedures.

Staff Support

  • Manage telephone and front desk activities.
  • Liase with remote workers and external visitors.
  • Maintain files and filing systems.
  • Prepare, distribute or process correspondence.
  • Prepare and organize agendas, files, reports and presentation materials.
  • Make travel arrangements for staff and visitors, as needed.
  • Assist with special projects and manage long-term and/or complex projects as needed.
  • Perform other related duties as required.

Office

  • Research and make recommendations regarding company systems (i.e. phone and copy machines).
  • Develop and administer office procedures.
  • Handle repairs to office equipment and furniture.
  • Manage CC swag inventory.
  • Other office management responsibilities as assigned (i.e. coordinate office moves and space planning).
  • Update company contacts and accounts.

Non-essential Duties and Responsibilities

  • Schedule and coordinate meetings for professional staff.
  • Provide word processing support with excellent proofreading, editing, grammar and spelling skills as needed.
  • Provide back-up to Bookkeeper/Office Assistant position: Order supplies and make technology purchases for staff; Order occasional lunches and set up events for staff appreciation.

Skill Requirements

  • Minimum of 4-5 years of administrative support experience; 1-2 years of human resources support experience.
  • College Degree or related course work and work experience.
  • Proficiency with Apple computers and applications.
  • Proficiency in the following computer applications areas:
    • Word (intermediate level)
    • Power Point (intermediate level)
    • Adobe Acrobat (intermediate level)
    • Google Web Applications (i.e, email, calendaring systems, document sharing)
    • Wiki editing
    • Type 50-60 wpm with accuracy

Support management team in collecting data for budget expense projections. No expense approval or signatory authority.

Bookkeeper/Office Assistant

Bookkeeper/Office Assistant for growing high-tech nonprofit. Tasks include general bookkeeping functions, assisting with the month-end close, grant reporting, other ad hoc reporting, and general office assistance. Minimum time commitment of 20 hours per week.

Essential Duties and Responsibilities

  • Accounts Payable: managing the full cycle of payables; reviewing and entering bills; coding expenses
  • Accounts Receivable: project/grant invoicing
  • Bank reconciliations
  • Payroll and benefits reconciliation
  • Balance Sheet reconciliations
  • General bookkeeping: creating general ledger entries; routine close functions using accrual accounting (including cash, Balance Sheet accounts, etc.)
  • Assistance with forecasting and variance analysis
  • Assistance with tracking grants
  • Assistance providing information for annual audit and preparation of schedules
  • Assistance with budgeting
  • Assistance with monthly, quarterly and annual financial reports
  • Preparing and reviewing monthly revenue calculations
  • Assistance providing tax return information to tax preparers
  • Maintain vendor files
  • Purchasing office supplies

Education Requirements
4-year accounting degree; CPA certification is a plus.

Experience Requirements
1+ years well-rounded accounting experience; experience with nonprofit accounting preferred, but not required.

Skill Requirements

  • Broad understanding of accrual-based financial reporting.
  • Strong software and internet skills, including familiarity with Excel, and QuickBooks.

Job Summary
Assist Creative Commons and the CC Affiliate Network Coordinator with organizational planning, strategic communications, community building, and fundraising in the appointed region (Europe or Latin America) in support of the organization’s mission, goals and objectives.

A primary focus of position in 2011 includes assisting with organization, coordination and planning for CC’s global meeting, including preparatory meetings and planning.

Essential Duties and Responsibilities

  • Support and encourage accomplishments of objectives expressed in Memorandum of Understandings
  • Cultivate and support sustainable regional initiatives that advance the organization’s mission
  • Advise CC and affiliates on regional resource needs
  • Identify and assist with regional fundraising opportunities
  • Foster relationships with region’s professional organizations, advocacy organizations, and other individuals and community organizations to promote use of Creative Commons legal and technical tools, participate in regional activities
  • Promote consistent messaging; publicize CC-related activities
  • Encourage coordinated and harmonized translation of CC materials, where possible
  • Encourage planning and implementation of regional websites
  • Field requests for information and interviews with key stakeholders and commentators
  • Identify and coordinate opportunities for policy statements relevant to region and/or globally
  • Co-organize regional meeting and play a key role in planning global meetings
    Facilitate and support self-organization and the development of inter- and intra-regional governance and leadership
  • Coordinate the preparation of a annual regional roadmap in collaboration with
  • CC and affiliates in the region (the regional roadmap describes goals, objectives, and risks in the region; it includes strategic events and partnerships, fundraising opportunities, license and tool adoption, community building activities, and inter-regional activities)

Education Requirements
Four-year college degree or equivalent experience; advanced degree preferred.

Experience Requirements
3-5 years of involvement in free/open culture movement, ideally within the CC affiliate network.

Other Qualifications
Ideally from and lives in specific region; fluency in local language and English.
